How to Build an Equipment Record Your Claim Team Can Use

Problem: Equipment that cannot be identified cannot be fully recovered.

Solution: A complete asset registry built before the loss.

Here are key steps to consider when creating your equipment record:

  • Identify the asset clearly
    • A description such as “damaged equipment” leaves a claims team with basic questions. Which item was affected? Where was it located? What information supports its identity and value?
  • Connect the records around the item
    • Use a consistent asset reference and record the location. Where available, retain identifying information such as manufacturer, model, serial number, photographs, purchase records, and maintenance history.
    • Keep damage documentation and replacement estimates connected to that same item. If an estimate uses a different description from the inventory, explain the relationship so a reviewer can follow it.
    • For equipment moved between locations, check that the record reflects where it was when the loss occurred.
  • Make the inventory useful before a loss
    • Assign responsibility for updating equipment records when assets are added, replaced, or relocated. A maintained record gives the team information it can build on after damage occurs.
